BizFlow · Workflow automation for everyday operations
Workflow Automation for Small Businesses
Brownsmith connects supported apps to run internal or external cross-app processes, including predictable checks, record updates and notifications. Enquiry management is a specialist BizFlow service that can also use automation; workflow automation supports broader processes across the business.

Good Tasks to Automate
A task is a good candidate when its trigger, required information, rules, and next owner can be described clearly.
Move Information Between Systems
Copy an approved enquiry into a sales record, update a status after a form is received, or send a confirmed order detail to the next team. During scoping, we confirm each app's supported actions, permissions, and API limits.
Prepare Regular Reports and Reminders
Collect agreed records on a schedule, prepare a summary, and send it to the employees who need to review it. The report's source fields and definitions should be agreed before automation begins.
Route Approvals and Exceptions
Notify a manager when a value needs approval, a required field is missing, or a record fails validation. The person can correct or reject the item before the workflow continues.
Use AI for Language-heavy Steps When Appropriate
A model may extract fields from a document or suggest an enquiry category. A fixed rule can then check that the result is complete and in range, while an employee reviews uncertain or consequential decisions.
First Automation Scope
A first scope can cover a small number of connected flows with defined inputs, actions, approval points, logs, and recovery instructions.
Standard Configuration
A supported trigger, a defined sequence of app actions, field mapping, basic filters, a schedule or notification, run history, one exception path, and a handover can establish a bounded workflow.
Business-specific Rules
We can configure thresholds, routing, validation, approval requests, recipient groups, report timing, and retry behavior around the agreed process and available platform controls.
Custom Integration Work
Apps that need a custom API, unusual sign-in method, complex transformation, high-volume processing, or additional database work are assessed for bespoke engineering. We confirm access, rate limits, data ownership, and security requirements during scoping.
Confirm Connector Capabilities
We check supported actions, account permissions, and the access your team needs to provide for each connector.
From Trigger to Result
A dependable automation defines its trigger, required data, rules, output, and recovery path for each step.
EY's published PowerMatch case shows this pattern in a finance operation: Power Automate moved payment and invoice data between SAP and an internal app, applied agreed matching rules, and sent lower-confidence cases to staff for review. Microsoft reports that the system raised automatic matching and clearing from 30% to 80%, while reducing the share requiring manual matching from 70% to 5%.
For a small business, the same design principle applies to a suitably bounded repeated task: connect the systems, apply explicit rules, and route exceptions to an employee. Brownsmith scopes the trigger, permissions, checks, and recovery path around the actual process before implementation.
Use a deterministic rule when the condition is clear; consider AI when the task depends on interpreting language or unstructured material.
Deterministic Rules
A rule can route an order by a selected region, check that an email address is present, or alert a manager when an amount exceeds an approved limit. The same input should follow the same path, making these steps easier to test and explain.
Language-based Assistance
AI can suggest a category for an email, extract a date or product name from a supplier document, or draft a short summary. The workflow should validate the result and send low-confidence or high-impact cases to an employee.
Human Approval
Keep people in control of price changes, payment instructions, customer commitments, hiring decisions, regulated records, and any action where a wrong interpretation could cause material harm.
Access and Failure Recovery
Every production flow needs an owner, a visible failure path, and a way to recover work without silently losing or duplicating records.
We map which service account can read or change each record and request only the access the workflow needs. Where supported, operations should be safe to retry, duplicates should be detected, and errors should be logged with enough context for an authorised employee to investigate without exposing unnecessary personal information.
A self-hosted workflow needs an owner for its server, database, updates and backups. We explain the access and operating steps your team needs. Ongoing workflow upkeep is separate from implementation; provider licences and infrastructure are separate too.
Delivery and Support
We confirm the workflow, connected apps, setup and timing after reviewing your current tools and the information your team provides.
The implementation fee covers workflow setup, notes and handover, followed by 1–3 months of initial support. Ongoing workflow upkeep is scoped separately and does not include new development. Provider licences and infrastructure are separate.
Build a focused API connection or internal application when the workflow needs capabilities beyond the available configuration.

Starting estimates are per service. Your final quote reflects the pages, content, features, integrations and ongoing work involved. INR and USD figures are independent starting prices. Third-party subscriptions, licences and usage charges are separate where applicable.
BizFlow implementation includes 1–3 months of initial post-delivery support without an additional support fee. The exact duration is specified in the proposal. New development, ongoing maintenance and hosting are separate services.
What your team shares, how we deliver and what happens after launch.
Do we need to replace our current software?
We review how your current apps support the workflow through connectors, APIs, exports or webhooks, then confirm the suitable connection and any information your team needs to provide.
Does every automation need AI?
Clear conditions work best with rules, such as checking a required field, selecting a team, or sending a scheduled report. For workflows that need text interpretation or information extraction, AI can provide assistance, with its output validated before important actions.
How do you keep workflows running smoothly?
Each workflow records progress and alerts a named owner when a step needs attention. Clear retry and recovery steps help your team keep work moving.
Can an automation approve a payment or send a binding offer?
Consequential actions use a human approval step, with any narrower control explicitly designed and authorised by the business. We define who approves and what evidence they review before the workflow proceeds.
How many workflows are included?
Starting with one well-understood process makes it easier to confirm the needed apps, actions and recovery steps before expanding into adjacent work.
What access or information does our team need to provide?
A process owner explains the current steps and exception cases. App administrators provide the required permissions using business-controlled accounts, and team members check representative input and output examples. The client retains ownership of its data and provider accounts.
What happens if a connected app changes its API?
We assess provider changes and explain any integration update needed. Your team receives 1–3 months of initial support after delivery; ongoing workflow upkeep is a separate scope. Provider licences and infrastructure are separate.
